Human Resource Recruitment Agency is seeking to recruit suitable individual for the position of Administrative Assistant.
The candidate will be hired by HR Recruitment Agency and will be assigned to ADB (Asian Development Bank).

Responsibilities:
  • Arrange appointments and meetings, proactively maintain calendars and schedules for designated staff.
  • Act as minutes taker during Country Management Team (CMT), Country Operations Review (CORM) and Tripartite Operations Review (TORM) Mission meetings.
  • Draft routine correspondence and memos for review and clearance by designated staff.
  • Edit processing-related documents, presentations and reports as well as support with production of briefing materials, as required, in compliance with ADB’s formatting requirements, track document flow, and assist with coordination as per ADB’s standardization requirements.
  • Prepare Power Point Presentations for internal and external purposes.
  • Assist and lead (when applicable) in inputting and managing programming and portfolio information in ADB’s internal systems and programs i.e., SovOps and eOps (appropriate guidance will be provided).
  • Perform any other duties as may be required, such as maintaining databases, filing and retrieving documents, producing basic Excel spreadsheets, preparing PowerPoint presentations, and preparing tables and charts for reports, among others.
  • Support in organizing and managing internal and external events, conferences, workshops, and other related activities.
  • Support staff mission preparations, budget approval and mission expense reports in Concur.
  • Under guidance from designated staff, liaise and coordinate with internal and external contacts to resolve non-standard queries and to obtain non-standard information relevant to assigned work.
  • Support to upcoming missions, including visa support letter, in-country transfers, VAT exemption for accommodation, events, and arranging translation/interpretation during mission meetings with counterparts.
  • Perform any other duties as may be required and assigned.

Relevant Experience and Requirements:
  • Bachelor’s degree.
  • At least 4 years of relevant administrative and operations experience, preferably with international organizations.
  • Excellent knowledge and use of MS Office and editing and formatting skills.
  • Ability to manage priorities and workload within general schedule of work, instructions and standardized practices.
  • Ability to foresee response and implication of own outputs, and to undertake tasks efficiently and proactively.
  • Ability to work collaboratively with multinational teams.
  • Ability to work and input information in internal databases and systems.
  • Ability to work with individuals from different cultural/national backgrounds.
  • Good analytical thinking with ability to make simple causal links, pro-and-con lists and analyses to reach a decision.
  • Strong interpersonal skills.
  • Excellent written and verbal communication skills in English and Georgian.
