University Services is looking for Personal Assistant + Student Support Specialist

Role description: Join our growing team to help students apply to universities across Europe! We are looking for a talented, motivated, and professional individual that can help us grow our business and serve our clients. As a company personal assistant, your role would be to support our various teams and the management to conduct their day-to-day operations. Your take will include various different jobs outlined below. You will be required to work remotely but also make visits to different organizations on a regular basis.

Key responsibilities:
  • Typing, formatting, and editing reports, documents, and presentations.
  • Entering data, maintaining databases, and keeping records.
  • Liaising with internal departments, answering calls across various departments, and making travel arrangements.
  • Managing internal and external correspondence on behalf of senior management.
  • Scheduling appointments, maintaining an events calendar, and sending reminders.
  • Manage calendar and diaries of Senior management.
  • Copying, scanning, and faxing documents, as well as taking notes.
  • The role will routinely involve submitting and receiving documents to translators as well as the Ministry of Education in Georgia.
  • Preparing facilities for scheduled events and arranging refreshments, if required.
  • Ordering office supplies and replacements, as well as managing mail and courier services.
  • Observing best business practices and etiquette.
  • Join in meetings to take notes and action plans.
  • Remind directors and team members of deadlines as per notes and action plans.
  • Various ancillary tasks to assist in the smooth running of the day-to-day operations.
  • Communicating with students who are our clients and answering questions.
  • Providing students with updates regarding their applications.
  • Using our online system to manage each student's application.
  • Verifying documents and completing the relevant processes to complete the application.
  • Contacting universities regarding the application of the students.
  • Being up to date with our services/prices, university entry requirements, and general information regarding admissions to be able to answer questions from students.

Candidate Requirements:
  • Must have an excellent level of English, minimum B2 required.
  • Good communication skills (both verbal and written)
  • Have access to the internet via a smartphone and laptop
  • Past secretarial or personal assistance experience is required
  • Past experience in sales or customer service is preferred
